Distributions
If you maintain physical manuals that contain documents, you probably want to track these in TMS also. Within TMS, a manual is tracked as a distribution. You would create a distribution record to identify the documents contained in the manual and its location. Distribution records could also relate to file cabinets, equipment, bulletin boards, and individuals or departments within an organization.
As part of the system setup, you need to define an ID for each distribution you will be tracking in the system. You could use the distribution ID to designate the physical location of the item. Or, if you have an existing ID system for distributions, you will probably want to use that within TMS.
If you do not currently have an ID scheme, make sure that you develop one that is consistent. When users are searching for distribution records, a consistent ID scheme will make it easier to use IDs as search criteria.
Permissions to the distribution list are handled via the Permission Group, Local Permission tabs. You must have either Read/Write or Read Only to add or view distributions.
NOTE: You may have rights to add a distribution location but once it is added, you may not have rights to view it. Access to Distribution List is a combination of permissions to locations and distributions which are assigned from the Local Permission tab.
